HR Coordinator/Assistant – Calgary

PURPOSE OF THE POSITION: As the Coordinator Human Resources, you will provide support to CP’s Human Resources team. You will assist in the execution and administration of HR programs and initiatives that support the business plans, strategies and goals of the organization. As a member of the Human Resources Team, this position’s primary responsibilities is to provide general administrative support, including recruitment process support, work closely with the HR Process Leads, and provide day to day administrative support to the HR Executives (including VP of HR). This is an entry level HR position and with the appropriate experience, performance and desire, can progress through the HR organization.

POSITION ACCOUNTABILITIES:

 Ensure that all HR programs, policies and processes are implemented in a manner that supports CP’s Foundations and business plans. Key accountabilities include HR administration support (including VP of HR), recruitment process support, data management and communications;

 General human resources administration support to the HR Executive Team, including calendar management, expense management, vendor invoice management;

 Support and manage the HR Executives time by coordinating, maintaining and monitoring of electronic calendar and appointment scheduling. Assesses and prioritizes the validity and nature of requested appointments to help ensure timely decisions and follow-up while preventing unnecessary interruption;

 Organize team meetings and special events as required;

 Organize computer and/or paper files to ensure material is readily accessible and appropriately archived;

 Receive and screen incoming telephone calls by eliciting necessary information to allow timely and accurate responses;

 Take authorized action and use initiative and sound judgment to help ensure matters requiring immediate attention are dealt with or delegated appropriately, with both internal and external stakeholders;

 Develop materials as required in preparation for meetings and presentations;

 Post job positions, pre-screening resumes, scheduling interviews and ensuring completion of required pre-employment processes (back ground checks, pre-employment medicals, etc.);

 Central inbox and folder management;

 Support the recruitment team in booking travel, coordination of job fairs and outreach initiatives;

 Support HR programs and processes including on-boarding, Learning & Development, Talent Management, Employee Relations and the HR Business Partner Team;

 Performs other duties, as required.

POSITION REQUIREMENTS:

 University Degree or Diploma in an applicable field or equivalent;

 1-3 years related experience within Human Resources;

 Flexibility and adaptability to frequently changing priorities and deadlines;

 Team player with excellent oral and written communication skills;

 Strong attention to detail with an emphasis on accuracy;

 Ability to work independently with minimal supervision, as a part of dispersed HR team;

 Ability to exhibit discretion in handling confidential / sensitive information;

 Proficient in the use of Microsoft desktop programs such as Outlook, Word, Excel particularly strong with PowerPoint, Visio and other reporting and administrative systems;

 Experience with SAP and Successfactors or an equivalent HRIS system is an asset.

 Strong interpersonal and relationship management skills;

 Excellent multi-tasking and time management skills;

 Ability to prioritize tasks in an efficient and effective manner in order to meet deadlines;

 Exceptional verbal and written communication skills, ability to operate efficiency with composure, as well as positive attitude are essential attributes for this position.

Management Conductor Program:

Becoming a qualified conductor or locomotive engineer is the single best way for a management employee to learn the business at CP. You may be required to obtain a certification or to maintain your current certification/qualification as a conductor or locomotive engineer.
